Reporting to the Assistant Director, Talents Services, and supporting the Executive Director of Talent Services, the Administrator will provide general HR administrative support to the Columbia University Information Technology (CUIT) Talent Services Team. The incumbent will also be responsible for ensuring the highest quality of service to all employees within CUIT and insuring timely resolution of all HR related issues and requests.


  • Provides calendar and administrative support to the Executive Director, Talent Services.

  • Provides support for all IT professional development programs including Employee Recognition programs,, CU learning management system, Mentoring Program and CUIT Lunch & Learn Series.

  • Responsible for general administrative duties including initiating new hire paperwork and employment verification letters.

  • Responsible for coordinating onboarding and orientation for new hires; serves as a backup for new hire "Day 1" onboarding for officers and support staff, assists with student casual scheduling and onboarding.

  • Assists in processing new hires, salary and/or title changes, upgrades, terminations, internal transfers, PMRs, leaves of absence etc., using the PeopleSoft system.

  • Conducts research, manages projects and timelines and participates as a hands-on contributor toward the successful implementation of various Talent Services initiatives; participates in the execution of CUIT employee events.

  • Assists with the CUIT newsletter.

  • Maintains various departmental reports (i.e. performance appraisal documents, goals and flexible work arrangements).

  • Creates and maintains personnel files to include all personnel related filing.

  • Creates bedework links for CUIT training and events.

  • Responsible for coordinating Mandatory training for new hires.

  • Provides property passes when requested from internal employees.

  • Serves as primary back up reception for coverage.

  • Serves as backup for Time & Labor Absence Management System (TLAM) for officers and time reporters; reviewing TLAM submissions, updating Student Casual rosters and overseeing payroll inquires.

  • Serves as back up for payroll labor accounting transactions to include: salary distributions, cost transfers, add comps and clearing of suspense).

  • Serves as a backup in preparing PAFs and updating the disability log.

  • Handles other CUIT Talent Services projects and duties as assigned.

  • All other duties as assigned.

Minimum Qualifications for Grade

  • Bachelor's degree or equivalent required.

  • Minimum -0-2 years' related experience.

Special Instructions

Preferred Qualifications

  • Bachelors degree in business or HR related field highly preferred.

  • Minimum 1 year related human resources experience or internships strongly preferred.

  • Interest and aptitude in the field of Human Resources.

  • Prior experience in technology and/or University setting.
